How we protect your privacy and handle your data.

Our Privacy Commitment

At VizXpress, we take your privacy seriously. VizXpress Ltd (company number 17334167, registered in England and Wales, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ) is the data controller for your personal information. Our ICO registration number is ZC205553.

While basic interface configuration resides client-side, intensive media processing operations (file conversions, compression, vocal separation, transcription, upscaling, restoration, background removal, and AI generation) are executed securely on our backend servers and media workers. This policy explains how we handle your information.

Data Processing

Media processing is handled securely on our dedicated cloud infrastructure:

  • Temporary Storage: Media files uploaded for processing are stored temporarily and encrypted in our secure cloud storage.
  • Automatic Erasure & Processing History: Processing history records and associated temporary task files are retained for 7 days on Free accounts and 30 days on Starter and Pro accounts before automated deletion. Generated media and assets saved to your user library remain stored permanently.
  • Strict Confidentiality: Your files are never inspected, shared, or used for any purpose other than performing the requested media operation.
  • User Account & Metadata: If logged in, only basic account info (email, 2FA credentials) and tool usage history/credit balances are stored in our secure database.

AI-Generated Content and Public Sharing

When using our AI generation tools (image and video generation):

  • You can keep your AI-generated assets private or make them public.
  • Publicly shared content is saved on our servers and may be visible to other users.
  • For public content, we store the generated asset, your prompt, model settings, and execution timestamp.
  • You retain ownership rights to all AI-generated content you create.
  • Public content may be showcased to improve platform capabilities.
  • You can request permanent deletion of your public assets at any time.

By making AI-generated content public, you explicitly consent to this data processing and storage.

Third-Party Services

Our app may integrate with third-party APIs for specific functionalities such as AI model generation, object removal, voice cloning, upscaling, restoration, URL shortener, and transcription. We are not responsible for the independent privacy practices of these integrations. When using AI tools, your prompts or media assets may be processed by external AI providers to return results.

Advertising & Conversion Tracking

VizXpress is supported in part by advertising and conversion measurement tools:

  • Google AdSense & Funding Choices: We serve contextual and personalized advertisements through Google AdSense. Google may use cookies and usage signals to deliver relevant ads under the Google Privacy Policy.
  • Meta Pixel & Conversions API (CAPI): We use Meta Pixel (client-side) and Meta Conversions API (server-side) provided by Meta Platforms, Inc. to measure ad effectiveness and evaluate platform conversions (such as account creation, credit purchases, and subscription upgrades). When you grant marketing consent, pseudonymized identifiers (such as SHA-256 cryptographically hashed email addresses, connection IP, and browser identifiers) are processed by Meta under the Meta Privacy Policy. These events are strictly gated and disabled by default until you grant marketing cookie consent.

Information We Collect

We collect personal, connection, and usage data to provide, secure, and improve our services:

  • Account & OAuth Registration: When you sign up, we collect your name, email address, password (stored securely and never readable by anyone, including us), and 2FA settings. If you log in via Google or Microsoft, we receive your name, email, avatar image, and unique profile ID from those providers.
  • Billing & Subscriptions: We track subscription levels (Free, Starter, Pro), transaction IDs, and currency. Raw payments are securely handled by Stripe under the Stripe Privacy Policy; we do not store raw card numbers. For details on cancellations and credit refunds, see our Refund Policy.
  • Tool & API Usage Logs: We record transaction balances, credit spending logs, tool processing history, daily usage limits, and developer API key usage details (request timestamps and specific features accessed).
  • Security & Connection Logs: We record client IP addresses and generate secure device identifiers to enforce rate limits, identify location regions, and prevent service abuse.
  • Uploaded Media Files & Generated Assets: Files uploaded for processing and temporary task outputs are purged after 7 days (Free tier) or 30 days (Starter & Pro tiers). Assets generated using AI tools or credit-based features are automatically saved to your user asset library and retained permanently.
  • Public AI Content: If you choose to share AI-generated outputs publicly, we store the prompt text, model parameters, and generation timestamp in our database.
  • Broadcast Emails & Communications: When you subscribe or create an account, we may process your email address to send broadcast communications, including platform feature updates, system announcements, product news, newsletter digests, and promotional offers. You can opt-out or unsubscribe at any time using the one-click "Unsubscribe" link in the footer of any email or by adjusting your notification preferences.
  • Web Push Notifications: If you opt-in to receive browser push notifications, we store a secure web push subscription token (endpoint URL, encryption keys, and authentication secret) provided by your browser to dispatch real-time announcements and task alerts. You can revoke push notification permissions at any time through your browser settings or user profile.
  • Contact & Support: We collect your name, email, and conversation messages submitted via our contact form, feedback tools, or live chat support.

We do not sell your personal data. Contact information is used solely to respond to support inquiries, while usage logs are kept to administer limits and prevent platform abuse.

Cookies and Browser Storage

We use cookies and Local Browser Storage to power VizXpress. We classify these into distinct categories:

1. Strictly Necessary Storage (No Consent Required)

Essential for core functions, security, and account sessions. These cannot be disabled:

  • Authentication & Session: Authenticated sessions expire after 24 hours to secure shared devices, or 30 days if you select "Remember me" during sign-in.
  • Theme & Preferences: Stores visual choices such as active dark/light mode configurations.
  • Consent Choices: Records your cookie consent selections so we do not prompt you on every visit.

2. Local Browser Storage

Local Drafts:AI-generated outputs you choose not to save to our cloud are delivered to your browser and saved locally on your device. Any temporary server copy used during generation is automatically deleted within 24 hours and is never permanently stored on our servers. You can permanently clear it anytime via browser settings.

3. Non-Essential & Third-Party Cookies (Consent Required)

Used for platform performance analytics, customer support, and advertising. These are disabled by default until you grant consent:

Consent and Marketing Communications

By subscribing to our newsletter or joining our waitlist, you explicitly consent to receive marketing communications. You can withdraw at any time by:

  • Updating your preferences in your account settings

Your Data Rights (UK GDPR)

Under UK GDPR, you have the following rights:

  • Right to Access: Request a copy of the personal data we hold about you
  • Right to Rectification: Request correction of inaccurate or incomplete data
  • Right to Erasure: Request deletion of your personal data
  • Right to Restrict Processing: Request limitation of how we process your data
  • Right to Data Portability: Request your data in a structured format
  • Right to Object: Object to processing based on legitimate interests

California Consumer Privacy Act (CCPA / CPRA)

If you are a California resident, you have specific privacy rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

  • Right to Know & Access: You have the right to request information about personal data collected, used, and disclosed in the past 12 months.
  • Right to Delete: You have the right to request deletion of your personal data held by us.
  • Do Not Sell My Personal Information: VizXpress does NOT sell, rent, or trade your personal information to third parties.
  • Non-Discrimination: We will not discriminate against you for exercising any of your CCPA privacy rights.

Legal Basis for Processing

  • Consent: Newsletter subscriptions and marketing communications
  • Legitimate Interest: Analytics, improving services, and responding to enquiries
  • Contract: Processing necessary to provide our services
  • Legal Obligation: Compliance with applicable laws

Data Retention

  • Processing history & temp files: Purged after 7 days (Free) or 30 days (Starter/Pro); permanent for saved library assets
  • Newsletter subscriptions: Until you unsubscribe
  • Contact form submissions: For 2 years after resolution
  • Analytics data: Anonymised after 26 months
  • Legal compliance: As required by applicable laws

Live Chat and Visitor Tracking

We use Tawk.to for live chat support. Tawk.to may collect and store visitor IP addresses and track page visits anonymously to provide better support. If live chat is unavailable, reach us via contact@vizxpress.com or our contact form.

Children's Privacy

Our services are not intended for children under the age of 13. We do not knowingly collect personal data from or allow children under 13 to use our services. If we become aware that a user is under 13, we will promptly delete their account and any associated personal data. If you believe a child under 13 has created an account, please contact us at privacy@vizxpress.com.

Analytics and Feedback

We use Google Analytics and UserReport to collect anonymous diagnostics and platform feedback. See our Cookies and Browser Storage section above for privacy links and options to opt-out.

Updates to This Policy

We may update this privacy policy from time to time. Any changes will be posted on this page with an updated revision date. By continuing to use VizXpress after such changes, you accept the updated policy.
